Qualifications
- Experience: Minimum of 3+ years of payroll administration experience.
- Education: Bachelor’s or Associate’s degree in Business Administration or related field is a plus.
- Software Skills: Proficiency in payroll software, Paycom preferred, and Microsoft Excel.
- Attention to Detail: Strong attention to detail and accuracy in data entry.
- Communication: Excellent written and verbal communication skills.
- Time Management: Ability to meet weekly payroll deadlines and manage multiple tasks efficiently.
- Integrity: Maintain confidentiality and integrity in handling sensitive weekly payroll information.
Key Responsibilities
Payroll Processing:
- Accurately processes payroll for employees.
- Calculates overtime, deductions, and other payroll components.
- Processes final paychecks for departing employees in compliance with applicable regulations.
- Distributes electronic paystubs to employees.
- Processes wage increases and bonus payments as instructed by the Management Team(s).
Timecard Management:
- Reviews, approves, and uploads employee timecards submitted
- Ensures accurate job costing by verifying that timecards are correctly allocated to specific projects and tasks.
Tax Compliance and Filings:
- Calculates, withholds, and pays all applicable federal, multi-state, and local payroll taxes.
- Prepares and files quarterly payroll tax returns in compliance with regulatory requirements.
- Prepares and files workers compensation reports.
- Ensures timely submission of tax payments and filings to prevent penalties and interest.
- Generates and distributes annual W-2 forms to employees.
Wage Garnishments and Child Support Notices:
- Handles wage garnishment and child support notices.
- Calculates and withholds the appropriate amounts from employee paychecks.
PTO Management:
- Manages the company’s PTO accrual leave program by tracking PTO earned and used.
- Resets PTO accruals at the beginning of the calendar year.
Financial Reconciliation:
- Reconciles payroll-related general ledger accounts.
Compliance:
- Stays up-to-date with federal and state payroll regulations.
- Ensures all payroll activities comply with legal requirements and internal policies.
Recordkeeping:
- Maintains accurate weekly payroll records, employee files, and related documentation.
- Handles employee inquiries regarding payroll matters.
Team Collaboration:
- Collaborates with Accounting and HR teams to resolve payroll discrepancies and ensure smooth payroll operations.
