As the Office Manager, you must have the ability to multitask, juggle multiple projects simultaneously, possess excellent customer service skills, experience with MS Office suite including Excel and the ability to prioritize tasks efficiently. Responsibilities include:

  • Contract administration, including setting up of new jobs
  • Processing change orders, lien wavers and required billing forms
  • Provide support as needed to general manager, division managers, dispatching, estimating, payroll, and field technicians
  • Prepare and distribute monthly reports to contractors
  • Maintain business licenses
  • A/R Invoicing
  • A/P Processing
  • Bank account and investment account reconciliations
  • Bank deposits
  • Post A/R payments
  • Account reconciliations and adjusting journal entries
  • Generate and distribute monthly financial reports
  • Prepare monthly mileage report
  • Maintain records for equipment/vehicle inventory including registrations
  • Maintain office equipment – computers, copiers, cell phones
  • Maintain employee safety records and set-up testing appointments
  • Maintain and order employee credit cards and fuel cards
  • Reconcile monthly credit card statement
  • Prepare monthly sales/use tax report
  • File quarterly tax reports by county
  • Provide documentation for auditors
  • Generate 1099’s
