Position Overview

Our client is looking for a DOT and Fleet Compliance Coordinator to ensure FMCSA and DOT compliance. The role includes managing driver records, tracking hours of service, supporting dispatch, and providing guidance on regulatory requirements. This position blends administrative detail with hands-on support for drivers and operations.

Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional flexibility may be needed to respond to time-sensitive compliance questions or provide guidance outside of standard hours.

Work Location: This position is based at the company headquarters in Springfield, OR, with field visits to storage locations as required.

Compensation: $28.00 to $34.00 per hour depending on experience and qualifications

KEY JOB RESPONSIBILITIES

  • Driver support: Serves as a point of contact for drivers with DOT/FMCSA compliance questions, including roadside inspections, scale house interactions, and truck documentation. Provides timely guidance and coordinates follow-up with fleet administration or leadership as needed.
  • Driver compliance: Maintains accurate driver qualification (DQ) files, CDL/endorsement tracking, and medical certificates.
  • Hours of service: Monitors electronic logging devices (ELDs) and driver logs to ensure compliance with DOT hours of service (HOS) regulations. Provide coaching when issues are identified.
  • Vehicle compliance: Tracks driver vehicle inspection reports (DVIRs) and coordinate with fleet maintenance to ensure timely repairs and recordkeeping.
  • Dispatch support: Collaborates with the operations team by providing compliance-related information for scheduling and routing, ensuring alignment with DOT requirements and project needs.
  • Permits: Supports the permitting process for oversize/overdimension and multi-state permits by coordinating with drivers and fleet administration, ensuring accuracy and compliance.
  • Compliance reporting: Prepares and submits required DOT and FMCSA compliance reports including MCS-150 updates, accident registers, CSA monitoring, IFTA/IRP filings, and license/registration renewals.
  • Safety policies: Reviews, updates, and maintains company safety policies as needed to ensure regulatory compliance and continuous improvement.
  • Explosives and hazardous materials: Assists in compliance with ATF, DOT, and MSHA requirements related to the transportation, storage, and handling of explosives and hazardous materials.
  • Inventory support: Provides assistance with recordkeeping and reporting systems for explosives inventory as needed.
  • Hazmat routing: Supports routing and permitting for hazardous materials transport when applicable.
  • Regulatory monitoring: Stays informed of federal, state, and local regulations and provide input to compliance programs and permitting processes.
  • Collaboration: Partners with supervisors and drivers to embed safe practices into daily operations, using audits and reports as learning tools.

 

Qualifications

  • Experience: Minimum of 3 years’ experience in transportation, dispatch or fleet compliance administration.
  • Education: Associate’s degree in business administration, transportation, or related field preferred; equivalent experience considered.
  • Knowledge: Working knowledge of FMCSA and DOT regulations including hours of service, driver qualification file management, roadside inspections, and vehicle compliance.
  • Pre-employment drug test: Successful completion of pre-employment drug test, including marijuana screening.
