The Payroll and Benefits Coordinator position is a full-time position. Eligible candidates should be proficient in conducting payroll without assistance. This position requires attention to detail, efficient processing of data and a high level of accuracy. Candidates should also possess a strong working knowledge of federal, state, county, and city taxes and how they are calculated. The position requires that candidates have excellent record keeping skills and organization with both paper and digital documents. The Payroll & Benefits Coordinator must have a robust understanding of the regulatory requirements of all forms of employee benefits.  



  • Process weekly and interim payroll
  • Process terminated employee exit documentation
  • Process garnishments
  • Process all tax deposits related to payroll
  • Prepare and present all quarterly federal, state, and local taxes and reports to accounting manager and company president
  • Review and audit all labor records to identify and report discrepancies to accounting manager prior to processing payroll Provide world class customer service to internal and external customers
  • Distribute payroll checks in person
  • Process, compile, and distribute W-2s
  • Process verifications of employment
  • Maintain high ethical standards at all times
  • Maintain confidentiality and make commitment to keeping all company and employee information
  • Review and run payroll reports
  • Coordinate with accounting manager to provide general ledger entries, accruals
  • Maintain meticulous records in preparation for any audit, internal or external, that may occur


  • Maintain and audit the company 401k program
  • Provide up-to-date 401k forms to employees and process all incoming completed forms as needed including but not limited to beneficiary change forms, enrollment forms, election changes
  • Coordinate 401k orientation meetings with provider and eligible employees
  • Monitor 401k plan health and communicate concerns and recommended action to executive management team
  • Provide up-to-date health and dental insurance forms and process all incoming completed forms as needed including but not limited to enrollment forms, coverage waiver forms
  • Process worker’s compensation claims through partner system in conjunction with internal accident form and provide information to partner as required
  • Compile and provide COBRA documentation upon employee exit
  • Audit and validate 401k 5500 and work with 401k provider to submit annually
  • Compile data, create and file OSHA 300 form annually
  • Coordinate annual health and dental insurance meeting for employees
  • Create and maintain a benefits activity schedule on an ongoing basis and communicate upcoming events to accounting manager and executive management team
  • Act as liaison between 401k account manager and executive management team

Other Responsibilities

  • Generate ad-hoc reports and analysis as it relates to payroll and employee benefits as required
  • Possible additional human resource and accounting responsibilities dependent on experience


  • Ability to work through tasks and projects methodically with consistency, accuracy, and speed
  • Ability to maintain confidentiality and not disclose sensitive company and employee information to anyone except as so authorized by the executive management team
  • Proficient in the standard Microsoft Office suite of products including but not limited to Excel, Word, PowerPoint, and Outlook
  • Ability to work at a fast pace and organize and complete tasks in a proficient manner
  • Ability to work within a team environment
  • Excellent verbal, listening, and written communication skills
  • Ability to utilize phone, in person, and online messaging and video applications for daily communication
  • Must have strong attention to detail and not sacrifice personal integrity or the integrity of a deliverable just to complete a task or “get it off one’s plate”
  • Must be committed to continuous improvement of both process and company systems
  • Must be willing to work in multiple systems and navigate across them proficiently


  • High School Diploma required
  • 5+ years of experience in payroll with the ability to process a payroll without the use of software if required
  • Full cycle bookkeeper a plus
  • Payroll certification or advanced payroll knowledge preferred
